Getting a VISA Invitation Letter for AIXR Events

If you require a VISA invitation letter for events such as the VR Awards this is the information we require from you.

Attending an AIXR event from another country? We are able to support you in providing a VISA invitation letter provided you hold a full ticket to an AIXR event (such as the VR Awards) and intend to come for business purposes.

Invitation letters are not required for ETIAS visa-exempt travellers. Please check entry requirements on the official EU website.

1. Start Early

Visa processes can take time. Start at least 2 months in advance to avoid last-minute hassles.

2. AIXR Member Account

Ensure you have an active AIXR member account. If not, sign up here.

3. Event Registration

Complete your event registration. A confirmed registration order number is essential before requesting an invitation letter.

4. Details Needed

For AIXR to issue your invitation letter, provide the following:

  • Full Name (as in passport)

  • Passport Number

  • Date of Birth

  • Nationality

  • Address

  • Contact Number

  • Email Address

  • Name and Dates of the AIXR Event you're attending

  • AIXR Event ticket order number

5. Send Details

Email your details to [email protected] with the subject "VISA Invitation Letter Request."

6. Processing Time

Allow up to 10 business days for AIXR to process your request and send your VISA invitation letter.

7. Check & Submit

Once you receive the letter, check all details for accuracy. Then, use it as part of your VISA application.

Please Note:

AIXR only provides an invitation letter. It doesn't guarantee VISA approval. Make sure to check your country's VISA requirements and process for attending events.
